What Information Should You Send for a UPS Quotation?

A practical checklist of UPS capacity, voltage, load, backup time and battery information to send before requesting a UPS quotation or selection support.

Why quotation information matters
A UPS quotation is more accurate when the supplier understands the real project conditions. If the request only says “I need a 20kVA UPS” or “please quote lithium battery”, important details may be missing.
For UPS projects, capacity, voltage, backup time and battery configuration all affect product selection, price and compatibility. Sending the right information at the beginning can reduce back-and-forth communication and help the project move faster.
Basic UPS information to send
  • Required UPS capacity in kVA or kW
  • Input phase and voltage
  • Output phase and voltage
  • Frequency requirement, such as 50Hz or 60Hz
  • Application: server room, IT room, network cabinet, small data center, industrial load or weak grid site
  • Quantity needed
  • Target market or installation country
Load and runtime information
UPS capacity should be checked against the real load, not only the equipment nameplate rating. If possible, send:
  • Real load in kW or kVA
  • Type of connected equipment
  • Required backup time
  • Whether the backup time is needed at full load or partial load
  • Whether the site uses a generator
Battery information for replacement projects

  • Required backup time and real load
  • Installation space and cable limits
  • Any communication or monitoring requirements
Information for OEM or local brand projects
If you are building your own UPS product line, also send:
  • Required logo or neutral branding

  • Datasheet or manual language
  • Target model range
