However, a UPS battery replacement project should not be quoted only by asking for battery quantity. The UPS model, DC voltage, real load, required runtime, cabinet condition, charger behavior and site environment should all be checked before final selection.
This checklist explains what information should be collected before planning a UPS battery replacement, external battery cabinet expansion or lithium retrofit project.
Information to Confirm Before UPS Battery Replacement
Before replacing UPS batteries, the service team should collect the basic project information first. This helps avoid wrong battery voltage, wrong runtime estimate or unsuitable retrofit direction.
- UPS brand and model
Confirm the UPS brand, model and rated capacity. If possible, take photos of the UPS nameplate and front panel.
- UPS capacity
Record the UPS capacity in kVA or kW. The capacity helps estimate the possible load range, but it should not be used alone for runtime planning.
- UPS DC voltage
Confirm the UPS battery DC voltage. This is one of the most important points before selecting replacement batteries or reviewing lithium retrofit.
- Existing battery quantity
Check how many batteries are currently connected in the UPS battery string. Also confirm the voltage and Ah rating of each battery.
- Battery cabinet condition
Check whether the existing battery cabinet can still be used. Look at cabinet size, wiring condition, terminals, ventilation and available space.
- Real load in kW
Battery runtime should be planned based on the real load, not only the UPS rating. If the real load is unknown, it should be measured or estimated carefully.
- Required backup time
Confirm the customer’s required backup time, such as 10 minutes, 30 minutes, 1 hour or longer. This affects battery quantity, cabinet size and battery type.
- Battery replacement direction
Confirm whether the customer wants standard lead-acid replacement, external battery cabinet expansion or lead-acid to lithium retrofit review.
- Site condition
Check installation space, temperature, ventilation, floor loading, cable route and maintenance access before final quotation.
Three Common Battery Replacement Directions
After the basic UPS information is confirmed, the project can review which battery replacement direction is more suitable.
- Standard lead-acid battery replacement
This is often suitable when the customer wants a familiar and budget-controlled replacement. It may also be suitable when the existing UPS and battery cabinet are still in good condition, and the required backup time has not changed.
Before replacement, confirm battery quantity, battery size, terminal type, cabinet wiring, charger setting and maintenance plan.
- External battery cabinet expansion
This direction may be reviewed when the customer wants longer backup time but still wants to keep the existing UPS system.
The project should check UPS DC voltage, charger current, real load, required runtime, cabinet space and cable route. A larger battery bank may also require more recharge time.
- Lead-acid to lithium retrofit
Lithium retrofit may be reviewed when the customer wants smaller footprint, lower maintenance frequency, longer cycle life or a more compact long-runtime battery solution.
This direction requires careful compatibility review. The UPS DC voltage range, charger behavior, BMS protection, communication requirement and safety logic must be checked before quotation.
How to choose the right direction
The best direction depends on the customer’s budget, runtime target, battery room space, UPS condition, service capability and long-term maintenance plan.
For many projects, it is useful to compare lead-acid replacement and lithium retrofit side by side before making a final decision.
Common Mistakes in UPS Battery Replacement Projects
Mistake 1: Quoting only by battery quantity
Battery quantity is important, but it is not enough. The UPS DC voltage, battery string structure, charger behavior and runtime target should also be checked.
Mistake 2: Ignoring real load
Backup time depends on the real load in kW. If the load is higher than expected, the new batteries may not provide the required runtime.
Mistake 3: Reusing a poor-condition battery cabinet
Old battery cabinets, damaged terminals or poor wiring can create installation and maintenance risks. Cabinet condition should be reviewed before replacement.
Mistake 4: Treating lithium retrofit as a direct swap
Lithium retrofit requires UPS compatibility review. The UPS DC voltage, charger behavior, BMS protection and communication should be checked before quotation.
